Job Description:

Provides general administrative support to the Advising, Career & Calling, Campus Activities & Leadership Development, Student Success, First Year Experience, Counseling, and World Outreach and Missions Offices.  This position is twelve months, scheduled for 18.75 hours per week.

Key Responsibilities:

  • General:
    • Provide administrative support to team members
    • Assist students in identifying and accessing appropriate office resources and staff members
    • Schedule appointments and meetings for team members 
  • Advising Center:
    • Promote advising materials across campus
    • Provide access to advising materials for students 
  • Campus Activities & Leadership Development Office:
    • Manage the scheduling of Student Development student activities spaces
    • Schedule Upper Union workers
    • Maintain office social media accounts
    • Manage WalkAbout logistics including promotion, registration, ordering, scheduling, printing and budgeting
    • Track and manage the Agape Music Festival budgets
    • Maintain the office websites and GC Bucket List 
  • Center for Career & Calling:
    • Promote employment, internships, graduate school and volunteer opportunities to students and alumni through social media, electronic bulletin boards, email and social media
    • Update both the Career & Calling website and Desire2Learn Learning Community content
    • Assist with Job Fair, Majors Fair, Etiquette Dinner, Strengths Dinner and New Student Orientation event logistics
    • Manage the status of marketing projects
    • Maintain files for the IBHE Co-Op grant 
  • Counseling Office:
    • Schedule student counseling appointments as necessary
    • Proctor CLEP and TOEFL tests 
  • World Outreach & Missions Office:
    • Write fundraising letters
    • Print mailing labels and fundraising letters for students
    • Track fundraising
    • Coordinate lodging, parking and schedules of Global Impact Week representatives
    • Communicate with campus offices including marketing, facilities and the dining commons for Global Impact Week
    • Research flights and travel costs
    • Manage the department’s social media accounts, blogs and websites

Reports To:

Associate Dean for Career and Calling

Required Skills:

Proficient in Microsoft Word, Excel, PowerPoint and Outlook

Preferred Qualifications:

  • Possess a positive spirit and live as a self-identified Christian who is actively involved in growing and sharing his/her faith.
  • One who endeavors to create and sustain a “life-giving” positive and welcoming environment where students will feel welcomed and encouraged to come with questions of any sort.
  • Capable of managing confidential information.
  • Strong interpersonal and organizational skills
  • Ability to multi-task, prioritize work assignments and work with a minimum of supervision
  • Openness to change, new tasks and new software programs
  • Attitude of customer service, compassion, care and confidentiality
  • Previous administrative assistant experience preferred

Education or Certification:

  • Associates degree or two years of college preferred

Required Experience:

  • 3-5 years similar experience preferred
